613OS ("we," "our") provides operations and payments software to schools, shuls and community institutions. We collect information that institutions and their families provide to operate the service: contact details, enrollment and membership information, payment records, and communications sent through the platform.

What we collect and why

• Account & family data — names, contact details, and enrollment or membership records supplied by your institution, used to operate its account.
• Payment data — processed through PCI-compliant payment infrastructure; full card numbers are handled by our payment processors and never stored on 613OS servers.
• Usage data — logs and analytics used to secure and improve the service.

What we don't do

• We do not sell personal information — of families, students, members, or staff — to anyone.
• We do not use student data for advertising.
• We do not share data with third parties except processors and service providers necessary to operate the platform, or as required by law.

Institutions own their data and may export or request deletion at any time by contacting privacy@613os.com.

Use of 613OS is governed by an institutional subscription agreement. Key terms summarized:

• Plans. Plans are Office, Pro and Enterprise, priced as shown at 613os.com/pricing. Annual plans are billed in advance and include two months free; monthly plans renew monthly. Where an institution processes with 613OS Payments, its plan fee is credited back for as long as 613OS Payments is its processor of record for tuition, dues and donations; card and ACH processing fees apply (see 613os.com/fees); if the institution switches processors, 613OS gives 30 days' notice and the credit ends at the end of that period, with the plan continuing at list price unless cancelled.
• Messaging and AI usage. Email is included; texting and WhatsApp are priced per message after carrier approval — we confirm your allowance at onboarding. Messaging and AI actions are subject to fair-use policies designed to prevent abuse.
• Payment processing. Processing services are provided under a separate merchant agreement signed by the institution; funds settle to the institution's own bank account, and 613OS never holds your money. Surcharging is offered where permitted by applicable law and card-network rules, with required disclosures; surcharges apply to credit cards only (never debit) and never exceed the cost of acceptance. ACH is never surcharged.
• Financial services. 613OS is a financial technology company, not a bank. Banking services, deposit accounts, and card programs are provided through licensed partner banks, Members FDIC. Yield rates are variable. Card programs are subject to approval.
• Acceptable use. Institutions must comply with anti-spam laws (TCPA, CAN-SPAM) when messaging through the platform, and may only message contacts with appropriate consent.

Security practices

• All data encrypted in transit (TLS 1.2+) and at rest.
• Payment card data handled exclusively by PCI DSS Level 1 payment processors; 613OS does not store full card numbers.
• Role-based access controls, with sensitive records (financial aid, confidential arrangements, custody flags) restricted to authorized roles.
• Audit logging on financial adjustments and administrative actions.

FERPA

For institutions subject to FERPA, 613OS operates as a "school official" with a legitimate educational interest under the institution's direction. Education records are used solely to provide the contracted services, are never sold or used for advertising, and are returned or deleted at the end of the engagement upon request.
