Privacy Policy
613OS ("we," "our") provides operations and payments software to schools and community institutions. We collect information that institutions and their families provide to operate the service: contact details, enrollment information, payment records, and communications sent through the platform.
What we collect and why
- Account & family data — names, contact details, and enrollment records supplied by your institution, used to operate its account.
- Payment data — processed through PCI-compliant payment infrastructure; full card numbers are handled by our payment processors and never stored on 613OS servers.
- Usage data — logs and analytics used to secure and improve the service.
What we don't do
- We do not sell personal information — of families, students, or staff — to anyone.
- We do not use student data for advertising.
- We do not share data with third parties except processors and service providers necessary to operate the platform, or as required by law.
Institutions own their data and may export or request deletion at any time by contacting privacy@613os.com.
Terms of Service
Use of 613OS is governed by an institutional subscription agreement. Key terms summarized:
- Subscriptions. Monthly plans renew monthly and may be cancelled anytime effective the next cycle; annual plans are prepaid for the term.
- Usage-based services. Messaging (SMS, email, voice, WhatsApp) and AI actions are billed separately at published per-use rates and are subject to fair-use policies designed to prevent abuse.
- Payment processing. Processing services are provided under a separate merchant agreement. Surcharging is offered where permitted by applicable law and card-network rules, with required disclosures; surcharges apply to credit cards only (never debit) and never exceed the cost of acceptance.
- Volume-based software pricing. Software-fee waivers tied to processing volume are based on credit card volume processed through the platform, subject to a qualification review and ongoing eligibility.
- Financial services. 613OS is a financial technology company, not a bank. Banking services, deposit accounts, and card programs are provided through licensed partner banks, Members FDIC. Yield rates are variable.
- Acceptable use. Institutions must comply with anti-spam laws (TCPA, CAN-SPAM) when messaging through the platform, and may only message contacts with appropriate consent.
Security & FERPA
Security practices
- All data encrypted in transit (TLS 1.2+) and at rest.
- Payment card data handled exclusively by PCI DSS Level 1 payment processors; 613OS does not store full card numbers.
- Role-based access controls, with sensitive records (financial aid, confidential arrangements, custody flags) restricted to authorized roles.
- Audit logging on financial adjustments and administrative actions.
FERPA
For institutions subject to FERPA, 613OS operates as a "school official" with a legitimate educational interest under the institution's direction. Education records are used solely to provide the contracted services, are never sold or used for advertising, and are returned or deleted at the end of the engagement upon request.
